Job Description
Greater New Orleans, Inc. is the nonprofit economic development organization serving the 10-parish Greater New Orleans region. GNO, Inc. is seeking qualified candidates for the position of Special Assistant to the President and Chief of Staff.
Job Description
The Executive Assistant to the President and Chief of Staff holds an essential role in supporting the overall success of the organization. He/she performs a varying degree of tasks for the CEO and Chief of Staff (CoS), primarily focused on scheduling, organization and efficiency, and is expected to work within time constraints and often under significant pressure. He/she will also provide support to and collaborate with other staff as needed.
Job Duties
A successful Executive Assistant will:
· Co-manage the CEO’s calendar utilizing Microsoft Outlook; will schedule most meetings for CEO. Must have ability to prioritize, and be flexible with last minute changes and urgent meeting requests
· Provide general administrative assistance which includes, but is not limited to: drafting correspondence, Salesforce data entry, and logistical support needs
· Support President and Chief of Staff in tracking and managing projects and tasks across the organization
· Facilitate the administrative needs of the Executive Committee, Board of Directors, and NextGen Council activities including coordinating and attending regular and special meetings, preparing meeting minutes, and activity tracking
· Engage in event and meeting planning ranging from small meetings to conferences. This includes key actions such as ordering meals, arranging travel, meeting room preparation, invitation dissemination, attending meetings, and preparing meeting minutes
· Engage in special assignments that may be complex in nature where judgment and initiative are required in resolving problems and making recommendations
· Prepare CEO and CoS expense reports
· Return CEO’s phone calls as needed
· Provide back-up coverage for administrative assistants as needed
· Interact with all levels of partners, investors, senior management staff, and employees
The ideal candidate will possess these professional and personal attributes:
· Organizational Skills: Superior organizational and time management skills
· Judgement: Ability to prioritize meetings and tasks, and make quick decisions in the best interest of the CEO, CoS, and organization
· Discretion: Exercise discretion and confidentiality; processes sensitive information; foster trust with colleagues
· Other:
Communicate effectively and professionally with the Board of Directors, investors and external contacts
Possess a high degree of proficiency with MS Office products including Word, Excel, Power Point and Outlook
Ability to work independently and proactively
Prioritize accuracy, thoroughness, and quality in all work product
Ability to multi-task effectively
Ability to work in a team environment
Education and Experience
· A high school diploma or equivalent
· A minimum of 2 years’ experience in similar work is preferred
