Job Description
Tales of the Cocktail Foundation (TOTCF) is looking for organized, reliable, and diligent Event Planning and Logistics interns to join our team! Event Planning and Logistics interns will assist our Events Director and Events Coordinator in the coordination of a variety of events including our Spirited Awards, Dame Hall of Fame, Education Program, Cocktail Apprentice Program, and Tales of the Cocktail.
Tales of the Cocktail 2023 will be held in New Orleans this July 23rd-28th, creating a unique opportunity to intern for a nonprofit organization as we prepare for our biggest fundraiser of the year. Event Planning and Logistics interns will walk away from this role with the skills, tools and best practices of what goes into planning a large-scale event.
Intern Duties and Responsibilities
● Administrative duties may include meeting coordination, assisting with agenda planning, and note taking.
● Attend weekly virtual Event Planning and Logistics meetings, Team Meetings, and any meetings with external planning partners
● Assist the Events team in the planning and execution of the 2023 Spirited Awards ceremony, and additional event support as needed.
○ Assist Events Director on cleaning & organizing submission data
● Assist the Events team in the planning and execution of the 2023 Dame Hall of Fame Induction Ceremony.
○ Event set up, assistance with coordination of complimentary tickets, and additional event support as needed.
● Tales of the Cocktail 2023
○ Assist the Events team to:
■ Organize and maintain events databases including data entry and compilation.
■ Compile the Event Binders
● Seminars
● Tasting Rooms
● MTD
■ Shuttle point of contact
■ Bookstore & Bitters Market
● Manage signing schedule
■ Coordinate with ticketing team on Credentials/Wristbands needed for:
● CAPs
● Spirited Awards Finalists
● Spirited Awards Co-Chairs/Judges
● Dame Hall of Fame Inductees
● DHOF Co-Chairs/Committee Members
○ Throughout Tales in July, Events interns will:
■ Assist in supporting all event logistics onsite
■ Manage “lobby” tasting rooms/events, including Cocktail Tour & Headliners
■ Ice contact (daily)
○ Assist the Events team Post-Tales in July to:
■ Report/Invoice from Shuttle company
■ Liquor invoicing
■ Other reporting
● Compost
● Recycling
No prior event experience needed. Experience in or passion for hospitality preferred.
NOTE: This internship will be primarily remote and then onsite in New Orleans during the week of the event, July 23-28. 2023
$10/hour, All-inclusive pass to Tales of the Cocktail 2023
