JOB DESCRIPTION

POSITION TITLE:           Program Manager

FLSA JOB STATUS:          Full time – Exempt

BENEFITS:                         Paid Time Off, Health, Dental, Vision Insurance Plans

REPORTS TO:                   Program Director

SUPERVISES:                    None

POSITION SUMMARY:

The Program Manager (PM) will partner with the Program Director to manage employer engagement relations, program projects, operations, and data integrity and analysis. The PM will serve as the program’s administrative contact and liaise between youth and employers to create meaningful opportunities for youth to advance towards a career.

 

The PM will assume a lead role over program data systems operations, inclusive of training and reporting.  The Program Manager must be exceptional at planning, be a self-starter, and excel at creating organizational systems.  In addition, the Program Manager must be able to build strong relationships and possess prior experience in both program and team management.

 

ESSENTIAL FUNCTIONS:

Employer Engagement

·         Serve as key point of contact between Liberty’s Kitchen and employer partners.

·         Manage existing externship and job placement partners, and work to develop new relationships.

·         Flexibility to offer support and act as a liaison with business partners to resolve any employer concerns that may arise (may occur after office hours, or on weekends).

·         Incorporate employer feedback into program delivery for each co-hort.

·         Identify the employment needs of business partners to best match participants and alumni.

·         Lead workshops to inform employers about youth centered coaching practices to work towards a movement of employers that retain youth by training them up.

·         Oversee and ensure ongoing and timely check-ins are occurring with program Externs, job-seeking graduates, and all active and advancing program participants.

·         Provide outcomes data to inform projections on participant and alumni employment and program impact.

·         Attend weekly meetings with staff to review participant progress and discuss appropriate training and/or intervention plans.

·         Develop career development curriculum throughout the program.

 

Manage Projects

·         Partner with Program Director to provide and organize management for key organizational initiatives, determining scope, strategies, goals, deliverables, timelines, and budget for the program, including all grant funding.

·         Track project performance, specifically to analyze the successful completion of short- and long-term goals of strategic plan.

 

 

 

·         Develop project plans to be shared with staff members and external stakeholders, as appropriate.

·         Implement and manage project changes and interventions to achieve project outputs.

·         Coordinate projects, develop and implement strategies to ensure that all tasks remain on schedule.

 

Program Evaluation and Data Systems Management

  • Serve as primary point of contact with data system Enterprise Manager and to program staff.
  • Analyze program data from multiple data sets; maintain records, data and draft reports, memoranda, letters, and other written materials as requested.
  • Ensure the integrity of data captured in systems is accurate, secure and up to date at all times.
  • Execute weekly data system reports, conducts audits, and presents trends and observations to Program Director.
  • Lead annual data system review process to identify any needed changes for the following year.
  • Support the planning and implementation of all phases of program evaluation and oversee outcomes data by regularly collecting information and reporting this information to determine quality assurance and improvements.
  • Manage participant and employer feedback tools (i.e., survey management) to determine the program’s effectiveness of case management, and alumni and employer relations.

 

Create and Maintain Systems for Program Operations

·         Support the development and revision of program policies and procedures, while maintaining master copy of program policies and procedures, ensuring timely updates to staff and stakeholders.

·         Create function-specific process maps for all Liberty’s Kitchen Programming operations to maximize efficiency and effectiveness.

·         Maintain clear and accurate operations documents/procedures for reference purposes.

·         Provide on-going flexible support to the Program Director, as needed.

 

Other Responsibilities

·         Occasional participation in after hour events and functions to promote the organization and/or supervise youth as they work events for the organization. 

·         Participate in regular staff meetings, staff training programs, supervisory sessions, and accept the responsibility for aiding the development of positive team relationships.

·         Adhere to agency policy and procedures and perform other duties as determined by Program Leadership and needs of the organization.

REQUIREMENTS:

·         Master’s degree, preferred with experience in social work, education, or public health.

·         Minimum of five years of work experience in program operations and/or project planning or design, including management of grants and grant budgets. 

·         Thorough understanding of project/program management techniques and tools.

·         Creative, strategic, analytical, and critical thinker with the ability to manage multiple projects.

·         Excellent problem solving and conflict management abilities.

·         Superior verbal, written communication and multi-tasking skills.

·         2 years of job training or high school education experience preferred

·         Deep knowledge and ability to communicate the mission and purpose of Liberty’s Kitchen to employers

·         Ability to deescalate conflict situations and reframe them into meaningful experiences

·         Lived experience enabling rapport-building with opportunity youth population preferred

 

SCHEDULE:

8:00AM - 4:00PM, Monday – Friday, with occasional weekends or extended hours.

TRAVEL

·         40-50% of time traveling by vehicle to local employer partner locations

·         Transporting youth in the passenger van as needed

 

WORKING CONDITIONS:

Routine restaurant kitchen environment may be exposed to hazardous situations and conditions that produce cuts or minor burns, and can be exposed to hot and cold temperatures, such as working near ovens or freezers.
