Job Description
Office Manager
Job Description:
Located in Metairie, LA, a locally owned financial planning firm is seeking a professional with a winning attitude who will provide efficient service to our team and excellent service to the clients we serve. We value integrity, longevity, and a team-oriented culture.
This position ensures the effective operation of the office including the timely and accurate completion of all financial and payroll duties and oversight of technology and specific compliance requirements. The ideal candidate will have strong organizational skills and experience in accounting with the ability to work with a contracted accounting firm to prepare monthly financials, budgets, and tax related documents.
Duties and Responsibilities:
• Perform daily accounts payable and reconciliation activities in QuickBooks.
• Analyze general ledger accounts and research routine accounting questions and concerns
• Creation and management of operating policies and procedures
• Process bi-monthly payroll through a contracted payroll firm
• Handle staff benefit options including 401k and insurance options
• Monitor office inventory, reorder supplies, postage & computer technology as needed
• Maintain all aspects of office technology, computer hardware and software and act as liaison to the contracted technology maintenance firm and broker dealer.
• Maintain personnel records and files
• Maintain records for all maintenance and service contracts
• Create client financial reviews and work with financial advisors on other client documentation
· Maintain database and use of mail merge for targeted mailers
• Working with the firm’s broker dealer and adhering to state and federal regulations, maintain compliance and regulatory requirements pertinent to the smooth and efficient operations of a financial advisory firm. These duties include, but are not limited to the oversight of licensing, continuing education, policies and procedures, code of ethics, supervisory alerts, anti-money laundering reviews, advertising submittal and documentation, and disaster recovery procedures.
• Maintain office scheduling and client appointments
Knowledge and Skills:
• At least 5 years preferred bookkeeping experience
• Bachelor’s degree preferred
• Experience in financial services field preferred
• Ability to think strategically, and work in a collaborative and cooperative environment
• Understanding of monthly financial statements
• Excellent computer skills, including Word, PowerPoint, Excel and Quickbooks
• Excellent oral and written communication skills
• Experience handling employee benefits, including insurance
• Excellent organizational skills
• Ability to multi-task
• Knowledge and experience in advertising and/or social media development and placement a plus
Compensation and Benefits
Salary based on relative experience. Benefits include a matching 401-k, health insurance and optional supplemental insurance plans.
