Job Description

TIME FRAME: This is a short term, seasonal position.

April 01 to May 15, 2026

POSITION SUMMARY:

Support the Musician Packet Coordinator, responsible for Musician tickets, comps, and Parking Passes for the Talent Department and the rest of the Talent team with assorted administrative tasks. This department is based in the Festival Offices at Canal place until the department moves to the Fair Grounds.


ESSENTIAL FUNCTIONS:

Duties of the Musician Packets Crew are:

● Distribute approved Credentials appropriately

● Create musician’s credential packets and appropriately record pick up and use for future years.

● Create reports for Operations/Security director with all cars and bus counts, by day.

● Works to make as many credentials packets as possible are distributed before the first day of the festival.

● Work with relevant departments on logistics of Parking Lots, Gate Entry, and Escort issues.

● Maintain the filing system and organization.

● Make all music department VIP packets with Music Booking and Programming Manager.

● Attend relevant Meetings

● Must complete all required Feedback Forms, Final Reports, and other duties as assigned.

● Using the Absentee Request Form, and reports their absenteeism to the Music Director.

● Must maintain confidentiality regarding sensitive issues.

Any document, computer program, design or other intellectual property created for the Jazz Festival belongs to the

Jazz Festival and must be given to the Festival through your supervisor or department head at the end of each

production year, or upon request.

EDUCATION, EXPERIENCE & SKILLS REQUIRED:

THIS PERSON MUST BE INCREDIBLY DETAILED AND ORGANIZED. Must be dedicated and hard working at all

aspects of the job, will need to work alone and as part of a team. Basic computer knowledge necessary for data

input. Must be able to interact with artists in a professional manner. Must be able to work in a fast paced, often

stressful, production setting.
