POSITION SUMMARY:

The Staff Shuttle Coordinator plays a critical role in managing transportation logistics for festival staff, ensuring smooth and efficient movement. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced outdoor festival environment.


ESSENTIAL FUNCTIONS:

Manage all staff transportation logistics, serving as both coordinator and dispatcher. Attendance is required at the production meeting scheduled for the week of the Festival. You will be notified of the exact date, time, and location of this meeting. Additionally, you will receive your festival credentials and other pertinent information.

  • Confirm that all staff shuttle vehicles have been ordered and secured. Verify proper placement of all necessary decals, signage, and wayfinding materials for shuttle stops, pickup locations, and vehicle identification.
  • Review and approve shuttle route maps and schedule displays for distribution to staff.
  • Oversee shuttle driver teams and support staff, creating and managing work schedules to ensure adequate coverage during all operational hours.
  • Manage time clock systems for shuttle staff, ensuring accurate recording of hours worked and compliance.
  • Conduct brief training sessions for new shuttle drivers on routes, safety protocols, and customer service standards.
  • Serve as primary dispatcher for all staff shuttle operations, coordinating vehicle movements, routes, and schedules to ensure timely transportation of festival personnel.
  • Monitor shuttle operations in real-time and adjust routing as needed to meet changing demands throughout the event.
  • Maintain constant communication with festival operations command, security teams, and department heads regarding transportation needs and issues.
  • Respond quickly to transportation emergencies or changes in operational requirements.
  • Provide regular status updates to festival management on shuttle operations and any challenges encountered.
  • Report any and all accidents, incidents, and situations pertaining to the vehicles, passengers, and yourself to the Safety Team.
  • Ensure drivers inspect their assigned vehicles daily for any damage. Damage inspection forms will be provided for this. Drivers will be provided with accident procedures and an accident report. Please follow the accident procedures immediately following any incident.
  • Performs other work-related duties as assigned.
  • Must maintain confidentiality regarding sensitive issues.


EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

Good driving record, valid driver’s license. Experience in driving a large passenger van. Good verbal communication skills are necessary. Ability to interact with public and large diverse staff. Communicate effectively via two-way radio.
