TIME FRAME: THIS IS A SHORT TERM, SEASONAL POSITION

March 15 to May 15, 2026


Position Summary

The Merchandising Field Operations Manager oversees all operational aspects of the Festival’s Merchandising & Business Development Department. This role manages booth installation and tear down, product distribution and tracking, inventory control, staff supervision, and reporting to ensure smooth and efficient merchandising operations before, during, and after the Festival.


Essential Functions


Pre-Festival Responsibilities

  • Clean and organize storage areas and inventory spaces
  • Unload supply and merchandise trailers
  • Distribute supplies and merchandise to booths as needed
  • Oversee installation of all merchandise booths
  • Receive and coordinate placement of smart boxes
  • Manage initial distribution of t-shirt inventory
  • Organize and maintain back-up truck used for infield inventory storage
  • Supervise Production Assistants
  • Train T-shirt Booth Inventory Managers

Festival Responsibilities

  • Supervise Production Assistants and T-shirt Booth Inventory Managers
  • Receive and organize incoming t-shirt inventory from vendors
  • Manage and distribute inventory replenishments (“adds”) to booths
  • Record all inventory transfers in the festival transfer journal and issue transfer slips
  • Collect signed transfer slips upon delivery confirmation
  • Make final daily call for inventory adds (4:00 PM)
  • Close back-up truck daily (5:00 PM)
  • Count and reconcile daily back-up truck inventory
  • Collect and reconcile booth inventory sheets with electronic reports
  • Notify Merchandising & Business Development Manager when daily inventory reconciliation is complete
  • Prepare next-day morning inventory distributions

Post-Festival Responsibilities

  • Supervise consolidation and transfer of booth inventory for final counts
  • Prepare global ending inventory reports
  • Prepare and load merchandise onto trailers and trucks
  • Develop final sales schedules for all t-shirt merchandise
  • Supervise tear down of all merchandise booths
  • Pack t-shirts and supply road boxes for transport

Education, Experience & Skills Required

  • Proficiency in Microsoft Excel (inventory tracking and reporting)
  • Strong inventory management experience
  • Production or event operations experience preferred
  • Ability to work in a fast-paced, high-pressure environment
  • Comfortable working outdoors in varying weather conditions
  • Ability to lift and move heavy items as needed

Additional Requirements

  • Accurately report absenteeism to the Festival Finance Office
  • Maintain confidentiality regarding sensitive information
  • Complete all required feedback forms and final reports
  • Perform other work-related duties as assigned
