Job Description
NOLA Pelvic Health is looking for a warm, organized, and proactive Front Desk Administrator to be the first point of contact for our patients. This role is essential to creating a welcoming, supportive environment while ensuring the clinic runs smoothly day to day. The ideal candidate is detail-oriented, calm under pressure, and comfortable handling sensitive health-related information with professionalism and discretion.
Key Responsibilities
Patient Experience & Front Desk Operations
• Greet patients warmly and create a safe, welcoming environment
• Manage check-in and check-out processes efficiently
• Answer phones, emails, and text messages promptly and professionally
• Schedule, reschedule, and confirm appointments
• Collect and process payments accurately and efficiently
• Provide superbills as necessary to patients
• Maintain patient flow and communicate schedule changes with clinicians
Administrative & Office Support
• Maintain accurate patient records in the EMR system
• Verify patient demographics
• Handle intake forms and ensure paperwork is completed correctly
• Maintain office organization, cleanliness, and supply inventory
• Support therapists with administrative needs as they arise
• Communicate with outside healthcare providers regarding patient referrals and notes
Communication & Coordination
• Educate patients on clinic policies, scheduling expectations, and payment procedures
• Communicate clearly with therapists regarding patient needs, cancellations, or concerns
• Handle sensitive conversations with empathy and discretion
• Uphold HIPAA compliance and patient confidentiality at all times
Required Qualifications
• High school diploma or equivalent (college coursework a plus)
• Strong organizational and multitasking skills
• Excellent verbal and written communication skills
• Comfortable using computers, scheduling software, and basic office technology
• Ability to maintain professionalism
• Ability to anticipate needs and problem-solve independently
Preferred Qualities
• Prior experience in a medical, wellness, or customer service setting preferred
• Strong interpersonal skills and emotional intelligence
• Reliable, punctual, and team-oriented
• Comfortable discussing sensitive topics in a respectful, nonjudgmental manner

Schedule & Compensation
• Part-time or full-time (to be determined)
• Compensation based on experience

- Paid Holidays: Eligible after 30 days of work and paid on days you are scheduled to work: New Years’ Day, Mardi Gras day, Memorial Day, July 4, Labor Day, Thanksgiving Day, Christmas Day (7 paid holidays)

We are a private pay outpatient pelvic health physical therapy clinic located in Metairie, Louisiana. We offer one on one pelvic health PT services to all genders. We are women owned and run!
