Job Title: Assistant Manager, Property Control

Department: Controller's Office

Reports To: Property Control Manager

FLSA Status: Exempt

Job Summary:

The Assistant Manager, Property Control, assists the Property Control Manager in the daily operations of the University’s Property Control Office. This includes maintaining accurate records of all movable capital assets, ensuring compliance with University, State, and Federal regulations, and supporting the physical inventory process. The Assistant Manager will also assist with the oversight of departmental property custodians and provide training and support as needed.

Key Responsibilities:

  • Assist the Property Control Manager in the management and maintenance of the University’s fixed asset system, ensuring all movable capital assets are properly tagged, recorded, and tracked throughout their lifecycle.
  • Oversee and execute the annual physical inventory process, including coordinating with various departments, scheduling, conducting cycle counts, and resolving discrepancies.
  • Review and process documentation related to asset acquisition, transfer, disposal, and retirement in compliance with University policy and external regulations (e.g., state procurement codes, federal grant requirements).
  • Serve as a primary point of contact for departmental property custodians, providing guidance, training, and support on property control policies and procedures.
  • Reconcile property records with the General Ledger and other financial systems as required for month-end and year-end closing procedures.
  • Assist in the preparation of reports for internal management, auditors, and external agencies regarding asset status and compliance.
  • Manage the tagging and barcoding process for newly acquired assets.
  • Assist in the development and implementation of improved property control processes and system enhancements.
  • Perform other related duties as assigned.

Required Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum of three (3) years of professional experience in accounting, auditing, or asset management, preferably within a higher education or governmental environment.
  • Demonstrated knowledge of fixed asset accounting principles and procedures.
  • Proficiency in Microsoft Office Suite, particularly advanced skills in Microsoft Excel (e.g., pivot tables, VLOOKUP functions).
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong written and verbal communication skills, with the ability to interact effectively with diverse groups of personnel.
  • Proven ability to manage multiple priorities and meet deadlines.

Preferred Qualifications:

  • Experience with Banner Finance or similar Enterprise Resource Planning (ERP) systems.
  • Familiarity with State of Louisiana fixed asset reporting requirements.
  • Experience supervising or training staff or departmental personnel.

Working Conditions:

This position is primarily office-based but requires significant physical activity during inventory periods, including walking across campus, lifting/moving light equipment (up to 25 lbs), and working in various campus environments (e.g., storage rooms, laboratories).
