Your Role: External Events & Engagement Coordinator

The External Events & Engagement Coordinator is responsible for elevating the company’s visibility, strengthening client relationships, and supporting business development objectives through the planning and execution of external events, award programs, sponsorships, and community engagement initiatives. This role manages high-impact corporate events, trade show logistics, client engagement platforms, and industry recognition efforts while ensuring consistent brand representation across all external touchpoints. The ideal candidate is organized, detail-oriented, and proactive, with strong coordination skills and the ability to manage multiple projects simultaneously.

What You’ll Do
Event Planning & Execution
  • Oversee all logistics such as venue coordination, registration management, vendor relationships, material preparation, travel needs, and onsite event execution.
  • Support Growth Team participation in trade shows and charity events by managing booth logistics, registration, collateral, shipping, and branded giveaways.
  • Ensure all events are delivered professionally, on brand, and aligned with business development goals.
Community Outreach (Client-Focused)
  • Coordinate community activities connected to client partnerships including volunteer events, charity participation, and local engagement initiatives.
  • Build positive relationships with nonprofit organizations and community partners aligned with client expectations and industry involvement.
Sponsorships & Memberships
  • Manage all corporate memberships and sponsorships, including renewals, deliverables, benefits tracking, and participation logistics.
  • Maintain a proactive, organized calendar of sponsorship-related commitments and responsibilities.
Award Programs & Industry Recognition
  • Manage submissions for industry and business awards.
  • Coordinate deadlines, gather internal content, draft submission materials, and track award statuses.
  • Research and recommend additional industry recognition opportunities that highlight the company’s achievements and expertise.
Promotional Item & Inventory Management
  • Oversee inventories for all promotional materials used for external events, trade shows, and client engagement activities.
  • Order, restock, source, and manage vendor relationships for branded promotional items.
  • Ensure materials are delivered on time and support a consistent, high-quality brand image.
Client Engagement
  • Oversee client-experience platform including survey setup, distribution, monitoring, and reporting.
What You Bring
  • Minimum 2+ years of experience in event coordination, internal communication, and/or marketing support is required.
  • Bachelor’s degree in marketing, communication public relations, or another related field is preferred.
  • Strong communication skills and professional interpersonal presence
  • Ability to lead collaborative efforts and motivate cross-functional involvement.
  • Proficiency in Microsoft Office Suite; experience with Canva, Adobe Creative Suite, SharePoint, or similar tools is a plus.
  • Able to manage multiple priorities and meet deadlines while maintaining attention.
