About the Role

The Graphics and Art Manager owns the full lifecycle of graphics, from file intake through production and installation, and will report to the VP of Design. This role coordinates across all departments to achieve high quality graphic and print related products for a variety of large and small scale projects, ensuring accuracy, quality, schedule adherence, and brand consistency. 

Reports to the Vice President of Design

Primary Responsibilities:

  • Own and maintain the graphics matrix for all projects, ensuring all labeling follows the Naming Convention SOP. (hybrid)
  • Manage the intake, review, and approval of all client-provided graphic and art files in accordance with company file guidelines. (hybrid)
  • Review client-provided graphic/art files in-person and verify that they are proper as per the Downtown FabWorks files guidelines. (in-person)
  • Review internal shop drawings in-person to verify accuracy of graphic materials, sizes, and specifications. (in-person)
  • Ensure correct logo, branding, and artwork files are used throughout production. (hybrid)
  • Interface in-person with Sales, Design, CNC, and Project Management teams to ensure smooth handoffs and accurate execution. (in-person)
  • Support Sales during estimating phases for projects containing graphics. (hybrid)
  • Attend client-facing meetings as needed to review proofs, samples, schedules, and expectations. (in-person)
  • Coordinate and oversee on site installation of graphics in-person and in coordination with the Project Lead and Project Manager.  Ensure that the final quality of installation meets Downtown FabWorks expectations. (in-person/job site)
  • Manage graphics subcontractors and vendors, ensuring pricing, lead times, and quality meet company standards and the specific needs of the project (hybrid). 
  • Coordinate purchasing, reconcile invoices, and partner with Finance and Project teams on cost tracking. (in-person)
  • Maintain graphics installation tool kits and ensure that internal graphics installers are equipped as necessary. (in-person)
  • Ensure installation quality meets Downtown FabWorks standards. (in-person/jobsite)
  • This position requires some after hours work and weekend work depending on install schedules and client/vendor hours and availability (hybrid/jobsite)
  • Develop and maintain a library of Graphics and print related materials and samples. (in-person)
  • Up to 25% long and short term travel up to or exceeding one month at a time may be required for the purpose of overseeing quality of large scale architectural/exhibit project installations (jobsite)
  • Ability and willingness to conduct out of office reviews and coordination at local vendor locations and project sites. (in-person/jobsite)
  • Identify opportunities for process improvement, risk reduction, and efficiency. (hybrid)
  • While some coordination and planning tasks may be performed remotely, in-person engagement is essential for maintaining our quality standards. This role requires a consistent in-person presence to ensure quality, accuracy, and successful execution of graphic work. Fast paced projects require in office communication, coordination with team members and oversee on-site installations when required. Estimated ratio of hybrid schedule: 60% office, 40% remote
  • Other duties as assigned.

  • Organized and Able to Scale: Understands importance of administrative organization, including file and document management, time management, and software to achieve scale.

Knowledge & Skills:

Education: Bachelors Degree or equivalent

Experience: 5+ years experience managing large-format print, vinyl, substrates, and architectural graphics, strong understanding of file prep, color management, and production workflows. Excellent attention to detail,  strong vendor management and negotiation skills, ability to manage multiple deadlines & projects in a fast-paced environment

Software:  The person in this position needs to be well versed in the following software:

  • Microsoft Excel
  • Google Drive
  • Slack
  • Time management software, including Google Calendar and all of its functionality.
  • Graphics specific software (Adobe Creative Suite, Canva, etc…)
  • Familiarity with project management software will be considered higher.  

Compensation: $55,000 - $60,000 year salary based on experience and fit, plus benefits listed in the company handbook.
