$6,400.00 per year

TIME FRAME: This is a short term, seasonal position.

March 16 to May 15, 2026 (FULL TIME)


POSITION SUMMARY:

The Installation Scheduler for the Art Department at the New Orleans Jazz & Heritage Festival is responsible for coordinating and scheduling the installation and removal of event décor and signage across various Festival locations. This includes signage and décor for stages, food booths, beverage booths, directional signage, and corporate partner activations.

The ideal candidate will work closely with internal teams and contractors to ensure signage and décor are installed on time and to the highest standards.


ESSENTIAL FUNCTIONS:


Scheduling & Coordination
  • Manage the timeline for installation and removal of signage and décor elements, as set forth in the Production Schedule.
  • Coordinate with contractors and internal teams to ensure timely setup and takedown.
  • Maintain a master schedule and provide regular updates to the Signs & Décor Manager and Art Department Director.
Communication
  • Serve as the primary point of contact for all signage and installation-related inquiries.
  • Facilitate communication between the Signs & Décor team, Festival departments, external contractors, and the Festival’s installation team.
  • Provide on-the-ground support during installation and removal to address any issues that arise.
Logistical Support
  • Assist the Installation Manager in ensuring necessary equipment, materials, and tools are available for installation.
  • Troubleshoot installation-related issues and make necessary adjustments as needed.
Documentation & Reporting
  • Maintain accurate records of all installations, including photos, placement notes, and status updates.
  • Oversee clock-in/out operations for Art Department personnel, verify time sheets, and submit payroll documentation to Finance in a timely manner.
  • Ensure payroll is processed accurately and on time, coordinating with the Signs & Décor Administrator to resolve any payroll issues.
  • Maintain a real-time inventory of all signs and décor elements, including photos.
  • Provide progress reports to the Art Department Director and applicable Festival departments, ensuring any delays or challenges are communicated promptly.

REQUIREMENTS:

  • Using the Absentee Request Form, it is the responsibility of each employee and their supervisor to accurately report their absenteeism to the Festival Finance Office.
  • Maintain confidentiality regarding sensitive issues.
  • Give any document, computer program, design, or other intellectual property created for the Jazz Festival (and, therefore, belonging to the Jazz Festival) to the Festival through your
  • supervisor or department head at the end of each production year, or upon request.
  • Attend and complete any required training.
  • Complete all required Feedback Forms and Final Reports.
  • Must attend and complete any required training.
  • Perform all other work-related duties, as assigned.

EDUCATION, EXPERIENCE & SKILLS REQUIRED:


Experience
  • Previous experience in event coordination, installation scheduling, or logistics preferred.
  • Familiarity with large-scale event production or festivals is a plus.
  • Experience with sign installation processes, safety protocols, and contractor coordination is highly desirable.
Skills
  • Strong organizational and time management skills with attention to detail.
  • Excellent communication skills, both verbal and written.
  • Ability to work under pressure and manage multiple tasks simultaneously.
  • Proficiency with Google Sheets, project management software, scheduling tools, and the ability to manipulate HERD.
  • Problem-solving attitude with the ability to think on your feet.
  • Ability to work fast under pressure, adapt quickly, and stay agile.
  • High social and emotional intelligence, along with strong interpersonal skills.
  • Ability to work independently and take initiative when necessary.
Physical Requirements
  • Ability to work outdoors in varying weather conditions.
  • Ability to lift up to 30lbs and stand for extended periods.
  • Must be able to walk the Festival grounds and navigate construction or installation sites.
Availability
  • Must be available to work one month before the Festival for setup and one week after for breakdown.
  • Flexibility to work evenings and weekends as needed during the Festival.
