Job Description


TIME FRAME: This is a short term, seasonal position.

March 30 to May 19, 2026

Interviews for this position will be held on Saturday, February 21.


POSITION SUMMARY:

Support the Transportation Coordinator and Administrator by assisting in fleet management, conducting inspections, analyzing and resolving issues related to all rolling stock, including vehicles, carts, and trucks. Coordinate with vendors regarding deliveries, rental inspections, schedules, and exception reports.


ESSENTIAL FUNCTIONS:

  • Assist in tracking the intake and return of all stock.
  • Label all stock, including vehicles, heavy equipment, golf carts, and trailers; log and report serial numbers to the Administrator.
  • Maintain an up-to-date record of fleet inspections and vendor-scheduled deliveries.
  • Support the Transportation department in monitoring fleet inspections and assessing damages.
  • Ensure safe operation of all equipment on the festival site through consistent oversight.
  • Coordinate with vendor mechanics on-site to address maintenance and repairs.
  • Assist department heads in facilitating transportation functions as needed.

REQUIREMENTS:

  • Must have a valid Driver's License
  • Utilize the Absentee Request Form for accurate reporting of absenteeism.
  • Maintain confidentiality on sensitive issues.
  • Submit any intellectual property created for the Jazz Festival to the Festival Finance Office as required.
  • Attend and complete all required training sessions.
  • Submit Feedback Forms and Final Reports promptly.
  • Perform any additional work-related duties as assigned.

EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:

  • Event production, transportation, logistics, or large-scale operations experience preferred.
  • Strong written and verbal communication skills, with the ability to interact professionally with staff, vendors, and supervisors.
  • Proven ability to prioritize tasks, manage competing deadlines, and perform effectively in a fast-paced, high-pressure production environment.
  • High level of reliability, attention to detail, and situational awareness.
  • Working proficiency with spreadsheets, digital tracking systems, and tablets, including real-time data entry and field-based reporting.
  • Ability to perform physically demanding work, including prolonged standing, walking, and occasional lifting of heavy objects, in outdoor conditions and varying weather.
  • Must be adaptable, safety-conscious, and able to respond calmly to changing operational needs.

Note: This role requires a valid Driver's License, heavy lifting, and flexibility in working hours to accommodate festival schedules.
