Job Description

Position General Summary: 

This position is responsible for coordinating the festival’s panel space and maintaining the room’s schedule during the Overlook Film Festival. This includes working with Overlook’s Tech Manager, Panels A/V Tech and Operations Director as well as the panelists and performers who will be scheduled in the panel room during the festival weekend.

This is a part-time contract position from February 23 - April 17, 2026 that will require longer hours in the weeks leading up to and during the festival.

Essential Job Functions And Duties / Principal Duties: 

  • Work with Tech Manager and Operations Director on coordinating panel space during the festival.
  • Work with programming team to convey all panel information to confirmed panelists.
  • Serve as point of contact for all confirmed panelists and coordinate their needs during the panels.
  • Liaise with Tech Manager and Operations Director on behalf of all panels needs including audio visual equipment
  • Assist with setup, load-in, and load-out process for panel spaces
  • Work with Panels A/V Tech who will run the A/V equipment and provide tech support for mics and projectors in panel spaces
  • Ensure panels start on time 
  • Liaise with volunteer department to ascertain and supervise volunteers assigned to panels

Preferred Education, Experience and Skills:

  • 1 year experience in venue/event operations or related.
  • Working knowledge of databases along with proficiency in Microsoft and Google Products. 
  • Outstanding communication skills, telephone, written, and interpersonal skills required to work effectively with a wide variety of people.
  • Excellent organizational skills including self-management of work schedule and ability to multi-task in a fast-paced environment.
  • Conflict management skills.
  • Must be able to maintain confidential information.
  • Ability to work around events and key deadlines and events. 
  • Must be able to work at the festival from Tuesday, April 7th - Monday, April 13th. 
  • Must be based in the New Orleans area or have regular access to the city and venues of the festival.
