Job Description

Position General Summary:

This position will be responsible for arranging the flights, hotel arrangements, stipends, ground transportation, festival benefits, and itineraries of all invited festival guests (approx 30) including filmmakers, press, industry and honorees, as well as being an ambassador for the festival and the city to all attending artists (70-80). 

This is a part-time contract position from February 2, 2026 - April 24, 2026 with a full-time commitment the week leading up to and during the festival (April 9th - 12th).

Essential Job Functions and Duties:

  • Booking all confirmed guest flights as directed by senior staff
  • Maintaining housing grid for all festival guests, communicating lodging to both venues and festival staff
  • Maintaining a clearly defined budget for all travel spending
  • Identifying area housing options for additional guests
  • Coordinating and issuing credentials for all attending filmmakers and artists
  • Communicating regularly with guests and being able to address their needs
  • Creating itineraries for all attending guests of their screenings and events
  • Acting in a hospitable manner to address guest needs
  • Arranging airport transfers for select invited guests and staff as necessary and within budget
  • Arranging transportation for select invited guests to and from events as necessary
  • Creating/Updating a “Things to Do in Town” with recommended activities and places to visit
  • Create and send out a “Welcome Letter” to all invited guests prior to their arrival at the festival to disseminate key information 
  • Sending daily correspondence to invited guests during the festival 
  • Attending key filmmaker events during the festival to host guests

Preferred Education, Experience, and Skills:

  • At least 1 years of hospitality experience for small and medium-scale events. Experience at film festivals is preferred.
  • Outstanding communication skills, telephone, written and interpersonal skills required to work effectively with a wide variety of people. 
  • Ability to work well on a team, take direction, demonstrate initiative and multi-task in a fast-paced environment.
  • Excellent organizational skills including self-management of work schedule ability to multitask in a fast paced environment. 
  • Conflict management skills.
  • Must be able to maintain confidential information.
  • Ability to work around key deadlines and events. Must be able to attend the festival from Tuesday, April 1st - Monday, April 7th. 
  • Must be based in the New Orleans area or have regular access to the city and venues of the festival.
