Job Description

The Property Management Assistant s a critical administrative and operational support role, focusing primarily on the management and maintenance of the firm's portfolio of third-party owned assets, including those managed for institutional clients. This role delegates essential, high-volume administrative tasks, ensuring property compliance, tenant satisfaction, and efficient vendor coordination, thereby mitigating risk exposure.


Core Responsibilities & Scope of Work (Operational Support)


1. Property Maintenance and Compliance:

  • Act as the primary contact for maintenance requests and tenant inquiries regarding leased properties.
  • Coordinate, schedule, and oversee third-party vendors and contractors for necessary repairs, property preservation, and routine maintenance for properties, ensuring compliance with local codes.
  • Maintain accurate records of all maintenance work orders, invoices, and expense documentation.


2. Financial and Leasing Administration:

  • Assist the Broker with the financial stability of managed properties, including ensuring the timely collection of rent payments.
  • Handle administrative tasks related to leasing, including collecting signatures on lease agreements and preparing necessary documentation for prospective tenants.
  • Prepare and submit invoices and expense reports for processing.


3. Asset Support:

  • Perform administrative duties such as data entry, filing, and preparing operational performance reports.
  • Assist in the preparation of Broker Price Opinions (BPOs) and Comparative Market Analyses (CMAs) by collecting local market data, photos, and necessary due diligence documentation.
  • Maintain and update organized digital filing systems for all property management and compliance records.


Required Qualifications

  • Prior experience in property management, real estate administration, or related field is preferred.
  • Strong organizational skills and meticulous attention to detail required for compliance documentation.
  • Proficiency with standard office software (spreadsheets, word processing) and data entry skills.
  • Excellent written and verbal communication skills for handling tenant requests and coordinating vendors.
