This position is responsible for producing parties and events for the Overlook Film Festival, including coordinating with venues, vendors, and product sponsors, supervising setup, decoration, and tear down, and creating and coordinating run-of-show for each special event during the Festival.

This is a part-time contract position from January 5, 2026 - April 24, 2026 that will require longer hours in the weeks leading up to and during the festival.

Principal Duties:

• Plan, coordinate, and execute the Opening Night Party, Closing Night Party, and other special events (including trivia, filmmaker brunch, filmmaker happy hours) for the Overlook Film Festival in close collaboration with Operations Director and Executive Director
• Create a run-of-show for each event to share with staff, venues and external partners and vendors
• Liaise with internal staff and external vendors related to events, including venues, DJs, bands, food, bartenders, PAs, and decor, as needed
• Create and maintain event budget for all parties, budget to be determined by Operations Director
• Assess staffing and volunteer needs for events, as needed
• Coordinate party needs and activation requests with event sponsors
• Create and maintain guest lists for all events
• Report to and assist Operations Director as needed

Position Qualifications:

• At least 2 years of event-producing experience for small and medium-scale events. Experience planning events for Film Festivals preferred.
• Outstanding organizational, communication, and interpersonal skills required to work effectively with a wide variety of people.
• Ability to work well on a team, take direction, demonstrate initiative and multi-task in a fast-paced environment.
• Conflict management skills.
• Creative problem-solving skills.
• Working knowledge of databases along with proficiency in Microsoft and Google Products.
• Must be able to maintain confidential information.
• Ability to work around key deadlines and events. The 2026 Overlook Film Festival will take place April 9-12, 2026
• Must be based in the New Orleans area or have regular access to the city and venues of the festival.
