Job Description

Phoenix Companies LLC is seeking a detail-oriented and proactive Administrative Assistant to support daily operations and ensure smooth office functioning. This role provides administrative and clerical support to management and staff, serving as a key point of contact for internal teams, clients, and vendors. The ideal candidate is organized, dependable, and able to handle a variety of tasks in a fast-paced environment.


Key Responsibilities

Administrative & Office Support
  • Manage daily office operations, including answering phone calls, responding to emails, and greeting visitors.
  • Maintain organized digital and physical filing systems for company records and documents.
  • Draft, edit, and prepare correspondence, reports, spreadsheets, and presentations.
Scheduling & Coordination
  • Manage calendars for supervisors and coordinate meetings, appointments, and conference calls.
  • Arrange travel logistics, accommodations, and itineraries when needed.
  • Assist in planning company events, staff meetings, and vendor appointments.
Communication & Client Relations
  • Serve as a professional and courteous point of contact for clients, partners, and vendors.
  • Relay information accurately between departments within Phoenix Companies LLC.
  • Handle inquiries and ensure timely follow-up on requests.
Operational & Project Support
  • Assist with project coordination by tracking deadlines, preparing materials, and maintaining documentation.
  • Support department workflow by generating reports, conducting basic research, and organizing data.
  • Monitor office inventory, order supplies, and coordinate maintenance for office equipment.
Financial & Administrative Tracking
  • Assist with processing invoices, expense reports, purchase orders, and basic bookkeeping tasks.
  • Maintain accurate logs, spreadsheets, and operational records for management review.
