Job Description

PROKEEP is currently in search of a dedicated, highly-organized, and self-motivated individual to fill the role of an Executive Assistant. The successful candidate will provide robust support to company leadership, managing confidential information, and functioning as a key individual in ensuring streamlined business operations.

Responsibilities:

  • Effectively manage the day-to-day activities of company executives. This includes setting up appointments, creating meeting agendas, maintaining schedules, ensuring punctuality and productivity.
  • Screen and prioritize correspondence and phone calls, redirecting them as required. Appropriately handle all requests and queries, providing prompt information where necessary.
  • Serve as a liaison between the executives and internal/external stakeholders. This may involve representing the executives in meetings and relaying all important details to them swiftly.
  • Manage and organize all forms of company documents and files. This will often involve the use of digital file systems and software to ensure the effective management of data.
  • Assist in the preparation of regular reports, draft correspondence, and prepare presentations. This is to aid in the effective communication of information within and outside the corporation.

Qualifications:

  • An appropriate Bachelor's degree or equivalent experience is highly desirable. Experience as an Executive or Administrative Assistant will be considered valuable.
  • Excellent verbal and written communication skills are a prerequisite. This extends to exceptional interpersonal skills to interact productively with all levels within the organization.
  • Highly skilled in time management and multitasking, with the ability to prioritize tasks to meet deadlines. The ability to work in a fast-paced environment without compromising attention to detail.
  • Strong proficiency in using various Microsoft Office tools like Word, PowerPoint, Excel and Outlook. Knowledge of other software relevant to office and project management will be an advantage.
  • Must display a high level of professionalism and confidentiality. This is because this role often deals with confidential information and high-level executives in the company.
