Job Description
CANAL BARGE COMPANY, INC.
JOB DESCRIPTION
POSITION: Crew Dispatcher
I. BASIC FUNCTION
The Crew Dispatcher is responsible for the planning, coordination, and execution of all assigned vessel crew changes. This role involves managing crew placement, ensuring efficient logistics, maintaining accurate crew change documentation, prioritizing crew safety, and fostering a customer service mindset in support of vessel personnel.
II. MAJOR RESPONSIBILITIES
A. Workforce Management/Support
Maintain up-to-date personnel and crew change documentation, ensuring accuracy and compliance. Provide ongoing support for crew members, fostering strong employee relations and effective communication. Process and verify Accumulated Time Off (ATO) requests, travel arrangements, and trip day records. Support the onboarding process by collecting and processing new hire orientation forms. Assist with payroll closing activities to ensure accurate and timely completion.
B. Crew Change Execution
Plan, coordinate, and execute all assigned vessel crew changes, ensuring cost-effective and efficient processes. Maintain and update an accurate crew database daily, ensuring real-time data availability. Manage crew travel arrangements in alignment with safety and expense management goals. Notify vessels promptly of crew change details and ensure seamless communication between all parties. Participate in weekly crew change meetings to assist with logistics and provide feedback on scheduling challenges. Input daily vessel crew changes into the system, ensuring data accuracy and integrity. Maintain and update crew boards daily to reflect current assignments and schedules.
C. Safety and Training
Facilitate new employee orientation by explaining the crew change process and Accumulated Time Off (ATO) process to ensure clarity and compliance. Ensure all assigned crew members have required credentials and appropriate skills for their assigned position, with direction from Port Captains.
D. Performance Feedback
Provide feedback to Port Captains, Crew Development, and Human Resources on crew performance, highlighting both positive contributions and areas needing remedial action. Act as a liaison to ensure crew performance aligns with company expectations and supports continuous development initiatives. Provide actionable insights to management for reducing crew travel costs, improving crew changes, and minimizing vessel employee turnover.
III. QUALIFICATIONS AND EXPERIENCE
- Previous experience in Crew Management, preferably within the maritime industry.
- Proven ability to work effectively as part of a team, demonstrating strong communication and interpersonal skills.
- Proficiency in Microsoft Office, with advanced skills in Microsoft Excel.
- Knowledge of Safety Management Systems and their application in maritime operations.
- Positive attitude with a demonstrated history of problem-solving and delivering excellent customer service.
- Availability to work an on-call rotation, including after business hours, weekends, and holidays.
IV. EDUCATION
- High school diploma or equivalent required.
- College degree preferred, with a focus on maritime, human resources, or a related field.
