Office Coordinator – Reports to Operations Director, Andrew Woodruff

JOB DESCRIPTION: The Office Coordinator is an essential part of the French Quarter Festivals, Inc. team in the months leading up to French Quarter Festival. The Office Coordinator’s primary focus is daily office operations and communications – including receptionist duties like managing phone, email, scheduling, and receiving guests – but also extends to help individual departments with assignments as needed, such as: managing festival contact list, using DocuSign to send and receive CREW paperwork, managing supply inventory, completing merchandise fulfillment, proofreading and document creation. Ideal candidates are team players with clear communication skills, a ‘whatever it takes’ attitude, and an outgoing personality. The Office Coordinator will also be asked to receive office deliveries, distribute parking codes, make credentials, and assist in light administrative tasks, such as printing, laminating, and organizing. Office Coordinator will work from the Front Desk workstation at FQFI offices.

·             PRE-FESTIVAL: See above: manage office communications and operations –  3 days a week

·             LOAD-IN: Oversee high volume of calls, office visitors, vendors, crew. Organize, store, and handout production packets; assist in team-wide meetings; onboard and delegate to interns –  5 days a week.  

·             DURING FESTIVAL: In Office during event days 9am-5pm. May be asked to substitute for roles on site during event if needed / pending availability.     

·             LOAD OUT: Receive food tickets, manage Lost and Found, take inventory, write thank you notes, follow up on post-festival tasks and communications, complete wrap notes.

BENEFITS: Hourly, seasonal position. $20 / hour in office. IRS form W9 position. Parking provided at FQFI office in the French Quarter. Meals provided on event days.

4 months, part time seasonal work. Flexible in office schedule, Monday through Friday.

EXPECTATIONS:  All Crew/Staff/Interns are expected to act in a kind and professional manner at all times. FQF is a family friendly festival and that respect for our fans is mirrored in how we treat our crew, volunteers, vendors, musicians, sponsors, and neighbors. During the Event, CREW must be comfortable communicating via handheld radio, lifting up to 30lbs, and interacting with the public. CREW may be required to report and document incidents that occur during production. If driving a golf cart CREW will be required to have a valid driver’s license on their person at all times.
