Job Description:

The operations manager for the Louisiana Landmarks Society and the Pitot House Museum works closely with the Executive Director to oversee the Pitot House Museum's daily functions, volunteers, and visitor services to ensure a safe, clean, and engaging environment. The Louisiana Landmarks Society (LLS) is a non-profit, 501 (c)3 preservation advocacy organization established in 1950. LLS is the owner and operator of the historic Pitot House circa 1799 West Indies-style home along beautiful Bayou St. John, offering event rentals, guided tours, and educational programming for the public. 

The responsibilities of this role are approximately one-half Pitot House Museum and event management, while the other half are administrative on behalf of the LLS and Pitot House.  Events at the Pitot House include weddings, special occasions, fundraisers, and meetings held at the Pitot House. The Operations Manager reports to the Executive Director and serves at the discretion of the Landmarks Board of Trustees. 

Key responsibilities of the Operations Manager shall include, but not be limited to, the following:

Pitot House:

1.              Coordinates the schedule of tours with the public, school groups, senior centers, tour companies, hotel concierges, among others.

2.              Supervises and schedules the daily activities of the Pitot House Museum docents, and volunteers on behalf of the Executive Director to ensure availability for regular hours and special events, as necessary.

3.              Supports the operations of the Pitot House Museum shop with the docents.

4.              Supervises and schedules the daily activities of volunteers for maintenance of the gardens and house, on behalf of the Executive Director and the Board.

5.              Provides tours of the Pitot House as a guide as needed.

6.              Serves as the on-site point of contact for vendors and contractors after the Executive Director has negotiated services.

7.              Identifies any necessary maintenance issues for the Pitot House.

8.              Coordinate site visits and meet with potential clients for event rentals

9.              Must have availability to staff event rentals individually, or with another staff person when needed, including evenings and weekends. 

10.           Assists the Executive Director and Board of Trustees with programmatic events as needed (e.g. Vino on the Bayou, Bastille Day Party, Holiday Market, New Orleans 9 Most Endangered press event, Fall Fête du Jardin, the Martha Robinson Lecture Series)

11.           Sets up the Pitot House grounds for Board Meetings, special events, etc.

12.           With the Executive Director, ensures the opening and closing of the Pitot House for all necessary events.

13.           Serves as the primary point of contact for a contract event coordinator.

14.           Performs other duties as required.

 

Administration

General Duties

1.       Produces a regular schedule of docents and volunteers to ensure the availability of personnel for the operation of tours and special events at the Pitot House

2.       Emails and verbally communicates requested information, necessary policies and guidelines to prospective clients in a timely manner.

3.       Generates invoices for fees, returning deposits, and payment of contractors

4.       Manages parking requests and implementation with Cabrini High School

5.       Assists the Executive Director with contracting/scheduling security for Special Events

6.       Tracks and processes payments for scheduled tours of the Pitot House

7.       Provides data entry of membership information, event rental, and other information assets into the LLS’s database, Little Green Light

8.       Produces renewal letters for membership and thank you notes for signature by the Executive Director, and Board as necessary.

9.       Assists the Executive Director with content generation and maintenance of social media assets as requested.

10.    Assists the Executive Director and Board with production of the Spring/Summer and Fall/Winter Newsletter.

11.    Assists the Executive Director with the production of materials for events, (flyers, signage), board meetings, campaigns etc.

12.    Assists the Executive Director with the maintenance of necessary files for the operation of the Louisiana Landmarks Society and the Pitot House.

13.    Follows the policies and guidelines of the Pitot House and defers to the Executive Director for any questions that go outside of the standard of practice.

14.    Performs other duties as assigned.

 

 

 

Operation Manager’s Supervisory Duties

1.     With the Executive Director - Pitot House docents;

2.     With the Executive Director – Pitot House Volunteers

3.     With the Executive Director – Special Events Coordinator(s)

 

Professional Qualifications, Essential Skills, and Qualities 

·      A college degree is preferred and a minimum of 2 years of experience or internship experience overseeing special events.  A combination of education and experience may be considered by the organization, at its discretion.

·      Strong communication (written and oral) and interpersonal skills to create a welcome environment for diverse groups including members of the public, volunteers, museum docents, prospective clients, and the Board of Trustees.

·      Must be self-motivated and detail oriented, with the ability to consistently follow-up.

·      Strong organizational and administrative skills

·      Willingness to work weekends, evenings, or holidays as needed

·      Punctuality, sincerity, and the willingness to listen are essential characteristics of the incumbent

·      Dedication to preservation, and a passion for the organization's mission and values

·      Computer skills including word processing, spreadsheets, power point, adobe or an equivalent software, customer relationship management/database software, email marketing platforms, social networking and social media sites

·      Experience with customer relationship management databases is a plus, the Pitot House uses Little Green Light and the incumbent will be required to use this program on a daily basis. Training will be provided.

·      A desire and willingness to learn and acquire skills in areas of deficiency.

·      Appropriate, professional appearance and presentation is required of the operations manager.

·      Be a pleasant and happy person with an engaging personality who will make an excellent representative of the Louisiana Landmarks Society and Pitot House.

 

Compensation:

The Operations Manager shall be paid an annual salary, with salary payments to be paid monthly or twice a month, as determined. Salary range: $45K. Consideration of an increase in annual compensation shall be after a twelve month review of performance conducted by the whole of or a selected sub-committee of the Executive Committee.

Work Schedule and Paid Time Off:

This position covers 40 hours per week. Hours of work: on-site at the Pitot House, Monday through Friday, 9:00 a.m. - 5:00 p.m.  The Operations Manager will be required to work at additional times after-hours, but shall be allowed approved time off to compensate for such required after-hours work (other than rental events or Board or committee meetings), subject to the current paid time off policy.  The Operations Manager is a salaried employee and is not subject to federal employment rules for payment of overtime compensation.
