Job Description
TIME FRAME:
Full time: March 1 - May 15, 2022
Part time: May 15 - 30, 2022
POSITION SUMMARY:
Assist with the pre-event, event and post event duties pertaining to talent, staff, sponsor, VIP, and vendor hotel
arrangements. Assist with managing Reservation links on the Festival’s website Hotel page. Assist with daily office
operations which include fielding phone calls, updating digital files, emailing correspondences.
ESSENTIAL FUNCTIONS:
Assist in the following:
For Festival’s Website Hotel Page:
o Assist with updating hotel information needed for Festival web site and submit changes to Design and
Internet Director as needed.
o Check hotel’s Reservation link weekly to make sure it’s working properly. Alert hotel if link is not working.
For Festival’s talent, staff, vendor, sponsor and VIP room block:
o Assist with updating Room Distribution spreadsheet.
o Assist with processing hotel requests and sending out confirmations.
o Process changes and cancellations for talent, staff, sponsors, VIPs and vendors.
o Follow through with hotel to confirm changes and advise once changes are confirmed.
o Generate alpha list to be used for reconfirming reservations.
o Reconfirm all hotel reservations twenty-four hours prior to arrival.
o Reconcile room lists after each weekend and make sure all charges are documented accurately.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
Experience in hotel front desk, reservations or sales. General knowledge of both the travel and music industries is
helpful. Strong written and oral communication skills necessary with a strong ability to organize and keep accurate
records. Proficiency in MS Word & Excel and Google Workspace required. Must have stamina for long days in a high
stress production setting.
