Job Description

The Department of Motion Pictures is a film production company based in New York and New Orleans with a satellite office in Austin. Its members produced “Beasts of the Southern Wild,” “Patti Cake$,” “Monsters and Men,” Laurie Anderson’s “Heart of a Dog,” the Vimeo season of web series “High Maintenance,” and documentaries in collaboration with ESPN, Time Magazine, and David Byrne. The company seeks to hire a New Orleans-based Administration and Operations Manager. This full-time salaried position will be based in the DMP’s New Orleans office and will include health benefits. The best candidate will be highly organized, proactive, nimble, creative at solving problems, curious, and collaborative.

Responsibilities include:

• Managing all of the company’s financial activity in partnership with our bookkeepers. This includes organizing receipts, expenses & invoices, reviewing cost reports and preparing and updating financial documents as needed. Help manage tax submission process, tax credits, audits and related activity in partnership with our bookkeepers and accountants.

• Attending to company operations work, including office management, liaising with bookkeeper on, making sure all of the companies LLCs are in good standing financially and governmentally.

• Manage administrative tasks related to keeping the company running, including interfacing with insurance brokers, accountants, and other company vendors (ie FedEx, landlords, office cleaners etc).

• Oversee systems for maximizing communication and productivity for a company that is often very busy and in many different geographic areas at once. Including:

  • Asana project management platform
  • Managing company calendars

• Schedule and run internal calls

  • Compile agendas
  • Oversee meeting schedule
  • Run the meeting to ensure that the meeting is efficient
  • Take notes, circulate post meeting, and save to Google Drive for records
  • Update Asana with action items to team members

• Generally helping to maximize productivity for the CEO. This includes proactive management of upcoming deadlines, drafting documents or emails, helping prioritize and schedule his time, proofreading for him etc.

• Taking on a vast number of projects and problems big and small, short term and long term, complicated and menial, and keeping track of all of them to ensure they are properly seen through.

  • No problem or task should be too small to take on.

• Supervise organizational systems and databases

  • Store and manage institutional company knowledge – like company contacts, project files and submissions – in a way that's accessible and user-friendly (Google Drive, Asana, Zoho)

• Ability to effectively work remotely and independently even post COVID – this is KEY. Josh Penn will be your primary and direct supervisor; however, he typically travels often and will spend sustained periods of time on productions or in other cities as the job requires. Additionally, other members of the team are based in other offices around the country – all of which means much of your work will be done in a remote manner. The best person for the job will be engaged, proactive, and driven to get things done without need for someone looking over their shoulder or constant supervision.

• Possess strong writing skills and ability to create effective written materials for a variety of uses.

• Working closely with the New York-based Development Executive as the other support position within the company to make sure all tasks are supporting the greater goals of the company, and that the New Orleans office is aligned with the activities of our New York and Austin offices.

Their work has premiered at Sundance, Cannes, and TIFF, and been distributed by ESPN, Fox Sports, Neon, Searchlight, and Paramount. The Dept. premiered three films at Sundance 2020: WENDY, FAREWELL AMOR and BLOODY NOSE, EMPTY POCKETS. Though the DMP was officially established in 2015 its members have been part of the Court 13 collective and making movies together since 2007.
