Job Description

Note: This is an in-person position located in New Orleans, LA
I BASIC FUNCTION
To serve as an integral part of the CEO’s team providing professional and enlightened support to the CEO and the Senior Executive Assistant while functioning as a corporate resource and member of the Executive Administrative team.
II MAJOR RESPONSIBILITIES & TASKS
Provide executive-level assistance to the efficient running of the CEO’s office, business and personal schedule and commitments:
1. Collaborate with the Senior Executive Assistant to manage the CEO’s personal appointments and schedule.
2. Handle all travel arrangements for the CEO, to include personal and family. Become the corporate expert on travel and advise Executive Administrative team on best practices.
3. Handle maintenance of CEO’s contact management resources.
4. Prepare expense reports for the CEO; review all incoming Executive Staff expense reports from for accuracy prior to approval by CEO.
5. Manage, track, and document company and CEO personal philanthropy and sponsorships.
6. Actively maintain and manage resource library and archive of company business and historically significant documents including speeches, presentations and photos in collaboration with the Manager of Corporate Communications.
7. Maintain records and organize a coherent electronic and paper filing system of the CEO’s personal, family, community and industry affairs to ensure accurate recordkeeping and timely retrieval of needed information.
8. Maintain and ensure confidentiality of verbal and written information as required for the CEO and the entire organization.
9. Provide backup and coverage in event of Senior Executive Assistant absence.
Provide corporate support for key strategic priorities and initiatives:
1. Assist CEO and team in executing CBC’s employee recognition programs, including service anniversaries, retirements, and special recognition.
2. Plan and coordinate corporate/company events.
3. Perform corporate-level projects and tasks as needed, and other duties as directed.
4. Act in accordance with CBC’s Business Philosophy and Code of Conduct. Be an Ideal Team Player and trusted partner.

a. Significant knowledge of Word, Excel and PowerPoint.
b. Able to learn CBC Systems & Software: Microsoft 365 (Outlook, Teams, Cloud); Workday; Salesforce; Sinex; PARTS and accounting systems.
6. Experience planning company events, customer dinners, company meetings preferred.
7. Demonstrates mature judgment.
8. Provides a positive example to others within the company to reinforce the corporate culture.
III RELATIONSHIP
The Executive Assistant/Corporate Operations Administrator is appointed by the CEO and reports to the Senior Executive Assistant. The Executive Assistant/Corporate Operations Administrator is part of the Corporate Operations team and works most closely with the Senior Executive Assistant, the Director of Corporate Operations, and the Manager of Corporate Communications. This position is also a member of the Executive Administrative (EA) team that coordinates and collaborates in supporting the entire executive staff and coordinates closely with Gulfside in helping to manage the personal needs of the CEO.
IV EDUCATION & EXPERIENCE
1. The Executive Assistant/Corporate Operations Administrator should have high integrity, candor, openness to change, and the ability to work effectively under pressure.
2. Requires initiative, the ability to accomplish assignments in a timely manner without supervision, and the ability to exercise independent judgment to help solve problems.
3. Requires excellent oral, written, and interpersonal communication skills.
4. Excellent computer skills required. High proficiency in Powerpoint, Word, and Excel are a must. Must be technology-oriented.
5. Prior relevant experience as a personal or administrative assistant preferred.
6. Bachelor’s degree required.
