Job Description

Tales of the Cocktail Foundation (TOTCF) is looking for an organized, reliable, and diligent Event Planning & Logistics Intern to join our team for the Spring 2024 Semester! The Event Planning & Logistics intern will assist our Events Director and Events Coordinator in the coordination of a variety of events including our Spirited Awards, Catalyst Luncheon, Cocktail Apprentice Program, and Tales of the Cocktail.

Tales of the Cocktail 2024 will be held in New Orleans July 21-26, 2024, creating a unique opportunity to intern for a nonprofit organization as we prepare for our biggest fundraiser of the year. The Event Planning & Logistics intern will walk away from this role with the skills, tools, and best practices of what goes into planning a large-scale event. Cover letter submissions are required.

 No prior event experience needed. Experience in or passion for hospitality preferred. 

Internship Commitment Requirements:

   ●    January - Mid July 2024: 15-20 hours/week | Virtual

   ●    Tales of the Cocktail signature events, July 15-27, 2024: 40+ hours/week | In person (New Orleans)

   ●    NOTE: All Event Planning & Logistics Interns must be at least 21 years of age by their start date with Tales of the Cocktail Foundation.


Compensation:

   ●    The starting intern pay rate is $10/hour

   ●    All-Inclusive Pass to Tales of the Cocktail 2024

Intern Duties and Responsibilities:

   ●    Administrative duties may include meeting coordination, assisting with agenda planning, and note taking.

   ●    Attend weekly virtual Event Planning and Logistics meetings, Team Meetings, and any meetings with external planning partners.

   ●    Attend Quarterly Team Retreats in New Orleans as availability permits.

   ●    Assist in executing local errands.

   ●    Assist the Events team in the planning and execution of the 2024 Spirited Awards ceremony, and additional event support as needed.

               Assist Events Director on organizing submission data.

   ●    Assist the Events team in the planning and execution of the 2024 Tales Catalyst Luncheon.

               Event set up, assistance with coordination of complimentary tickets, and additional event support as needed.

   ●    Tales of the Cocktail 2024

               Assist the Events team to:

                   ●    Organize and maintain events databases including data entry and compilation.

                   ●    Compile the Event Binders

                               Tasting Rooms

                               MTD

                   ●    Bookstore & Bitters Market

                               Daily check in with Octavia books manager

                               Manage signing schedule

               Throughout Tales in July, Events interns will:

                   ●    Assist in supporting all event logistics onsite

                   ●    Manage “lobby” tasting rooms/events, including Cocktail Tour & Headliners

                   ●    Work with Partnerships Intern on Official Partner deliveries

               Assist the Events team Post-Tales in July for:

                   ●    Liquor invoicing

                   ●    Other reporting

                               Compost

                               Recycling

Work Authorization:

   ●    Must be currently authorized to work in the United States for any employee and provide documentation supporting this authorization.

   ●    While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit, stand, walk; use hands and fingers, handle or feel; and reach with hands and arms.

   ●    Maintain visual attention and mental concentration for significant periods of time.

   ●    Extended periods of sitting while using a computer or other devices are common.

   ●    Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

   ●    Must occasionally lift or move office products, materials, and supplies, up to 20 pounds.


NOTE: This internship will be primarily remote and then onsite in New Orleans during the weeks of the events, July 15-27, 2024.
