Job Description

Tales of the Cocktail Foundation is looking for an organized, reliable, and diligent Events & Programming Assistant to join our team! The Events & Programming Assistant will support our Events and Programming departments in the coordination of a variety of events including our Cocktail Apprentice Program and Tales of the Cocktail.


Tales of the Cocktail 2024 will be held in New Orleans this July 21-26th, creating a unique opportunity to learn and grow with the nonprofit organization as we prepare for our biggest fundraiser of the year. The Events and Programming Assistant will walk away from this role with the skills, tools and best practices of what goes into planning and creating programming for a large-scale event.

Pay Rate: $15 - $25/ hour, depending on experience level. This is a part-time, hourly (non-exempt) position, working 20-25 hours each week, based in New Orleans, LA. This hybrid role requires travel in and around the Greater New Orleans Area for quarterly in-person meetings and in-person participation at Tales of the Cocktail Foundation events.

KEY RESPONSIBILITIES:

      -   Administrative duties may include meeting coordination, assisting with agenda planning, and note taking.

      -   Attend weekly virtual 1:1, Events and Programming meetings, Team Meetings, and any meetings with external planning partners

      -   Attend New Orleans-based and virtual Quarterly Team Retreats

      -   Assist in executing local errands

      -   Support in the planning and execution of TOTC Education

                ○   Coordinate Presenter data

                ○   Assist in organizing information for the seminar schedule

      -   Year-round support of Tales of the Cocktail Foundation Programs

                ○   Cocktail Apprentice Program

                ○   Beyond the Bar Program

                ○   Philanthropy & Development Program

                ○   Spirited Awards

      -   Manage the Staff and Volunteer programs for Tales of the Cocktail

                ○   Coordinate issuing staff and volunteer invitations

                ○   Maintain spreadsheets for hired festival staff and volunteers

                ○   Prepare and update materials for staff and volunteers

      -   Tales of the Cocktail

                ○   Assist the Events and Programming team to:

                        ■ Manage staff and volunteers day-to-day

                        ■ Organize and maintain events databases including data entry and compilation.

                        ■ Assist in supporting all event logistics onsite

                        ■ Coordinate CAP transportation credits

                ○   Post-Tales

                        ■ Organize presenter & staff payments

                        ■ Post-event reporting

                        ■ Vendor payments

REQUIREMENTS

-     Must be committed to, and enthusiastic about, the mission and vision of TOTCF

-    Local to the New Orleans area

-    Have use of vehicle

-    Must have access to a laptop to use for work

-    Must have working knowledge and experience with Google Drive

-    Events Experience preferred.

WORK AUTHORIZATION

-       Must be currently authorized to work in the United States for any employee and provide documentation supporting this authorization.

-      Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.


-      Must occasionally lift or move office products, marketing materials, and supplies, up to 20 pounds.
