Job Description
Position Summary
The School Registrar manages registration and record management functions including maintaining student records and reporting processes. The Registrar ensures consistency in records management and registration practices and is responsible for complex tasks including registering and withdrawing students, requesting records and transcripts for new and transfer students, and updating student records. In addition, the Registrar maintains required documents for all students, including but not limited to physicals, immunizations, emergency forms, and standardized test scores. The Registrar must be knowledgeable of state rules and regulations related to school enrollment and registration and have the ability to apply these to the registrar’s role, duties, and decision-making.
This is a twelve-month, exempt position reporting to the Principals. Typical work hours are weekdays 7:30am to 3:30pm. Additional hours may be necessary, including evenings and weekends, to support all school needs.
Qualifications
• Bachelor’s degree or equivalent experience.
• 2+ years of related experience.
• Excellent record keeping skills and attention to detail.
• Knowledge of the technical functioning of the State of Louisiana’s Student Transcript System (STS).
• Proficiency in Microsoft Suite with ability to develop and maintain spreadsheets and databases.
• Knowledge of Blackbaud software preferred.
• Knowledge of Magnus Health software preferred.
Primary Duties and Responsibilities
• Directs the daily operations of the Registrar's Office and serves as an internal consultant to administrators, faculty, and staff.
• Maintains student enrollment count, database of grades, standardized tests, immunization records, and other data.
• Provides transcripts of grades to schools and colleges upon request.
• Ensures that all student files and records are accurate and up to date and scanned into the student’s portfolio.
• Export, sort and supervise the publication of the Honor Roll.
• Upload student data and transcripts into the Student Transcript System (STS).
• Attend STS data meetings held by the State Department of Education to stay informed on all changes affecting student data entry; implement related policy and procedure changes within Holy Cross.
• Generate report cards and verify credits earned to fulfill graduation requirements.
• Maintain summer school grades and course information.
• Interpret and implement child support court orders with sensitivity, judgment, and discretion.
• Collaborates with Principals, Technology Department, Finance Office, Enrollment Management, and others to maintain the online registration program and ensure efficient processes for delivery of quality records, enrollment, and registration services.
• Assists parents with the online registration process.
• Advises and monitors school registration and provides student enrollment verifications.
• Coordinates with Deans and the CFO regarding student dismissals and transfers.
• Fulfills requests for database reports.
• Ensures the security and protection of records by establishing and enforcing security procedures.
• Stays current with effective records management techniques relating to imaging, disaster recovery, retention schedule, and other critical issues.
• Issue student work permits and enrollment certificates.
• Performs other duties as assigned.
Required Knowledge, Skills, and Abilities
• Knowledge of Louisiana rules and regulations related to school records, including FERPA, with ability to apply these to duties and responsibilities.
• Knowledge of registration and student file requirements, policies, and procedures.
• Ability to learn and use query tools.
• Skilled at organizing and developing controls and procedures for the security and privacy of large volumes of student data.
• Exceptional organizational, verbal and written communication, and interpersonal skills
• Ability to be flexible and adapt as needed.
• Excellent decision-making skills with ability to use discretion, as necessary.
