Job Description
$17 per hour
TIME FRAME: This is a short term, seasonal position.
April 10 to May 7, 2025
POSITION SUMMARY
The Merchandising Warehouse Inventory Manager oversees all aspects of the Festival’s Merchandising Inventory Management System, including product receiving, distribution, tracking, inventory counting, storage, and reporting.
ESSENTIAL FUNCTIONS:
Pre-Festival Responsibilities:
- Prepare daily inventory spreadsheets.
- Develop and maintain the What’s Sold Where and Items and Prices schedules.
- Coordinate the product receiving schedule.
- Order booth and general merchandising signage.
- Develop a product distribution schedule by booth.
- Unload the storage trailer and organize products in storage barns.
- Clean and organize storage barn rooms.
- Supervise inventory counters.
- Count and record beginning inventories for both new and existing merchandise.
- Distribute products to booths.
- Break down and store boxes for later use.
- Verify booth beginning inventories and correct any distribution errors.
- Notify the Merchandising & Business Development Manager when distributions are correct and inventory sheets are ready for printing.
Festival Responsibilities:
- Issue product adds to booths as needed.
- Record all adds and returns in the festival transfer journal and provide transfer slips to the Production Assistant.
- Collect signed transfer slips once deliveries are made.
- Supervise inventory counters.
- Maintain and update electronic daily inventory sheets.
- Make the final call for product adds at 4:00 PM.
- Close the warehouse at 5:00 PM.
- Count and reconcile daily ending warehouse inventories.
- Review daily inventory sheets for errors or discrepancies.
- Notify the Merchandising & Business Development Manager when daily inventory sheets are complete.
- Ensure returned merchandise for overnight storage is properly organized.
Post-Festival Responsibilities:
- Supervise the transfer of merchandise from booths to the warehouse for counting and consolidation.
- Prepare the final inventory report for all merchandise, excluding t-shirts.
- Oversee the loading of merchandise onto the transport trailer.
- Generate individual item sales reports for all merchandise except t-shirts.
EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:
- Proficiency in Excel and inventory management systems.
- Experience in inventory management and warehouse operations.
- Strong organizational and multitasking abilities.
- Ability to work in a fast-paced, high-stress environment under various weather conditions.
- Comfortable with heavy lifting and physically demanding tasks.
REQUIREMENTS:
- Using the Absentee Request Form, it is the responsibility of each employee and their supervisor to accurately report their absenteeism to the Festival Finance Office.
- Maintain confidentiality regarding sensitive issues.
- Give any document, computer program, design, or other intellectual property created for the Jazz Festival (and, therefore, belonging to the Jazz Festival) to the Festival through your
- supervisor or department head at the end of each production year, or upon request.
- Attend and complete any required training.
- Complete all required Feedback Forms and Final Reports.
- Must attend and complete any required training.
- Perform all other work-related duties, as assigned.
