POSITION SUMMARY:

The Corporate Signs & Decor Liaison, reporting to the Art Department Director, supports the Promotions Office—specifically Sponsorship and Merchandise teams—in overseeing the production, installation, and quality control of all Promotions Office-related signage and décor at the Festival site, particularly those featuring corporate partner branding. This role collaborates with Art Department staff throughout the Festival season to fulfill assigned tasks, ensures proper inventory management of Promotions Office-related materials post-Festival, and safeguards items designated for annual use.

ESSENTIAL FUNCTIONS:

Inventory and Planning:

  • Collaborate with Promotions Office directors (Sponsorship and Merchandise) and Art Department staff to maintain a comprehensive inventory of Promotions Office-related signage and décor.
  • Assist the Art Department Director in the bidding process for the production of all related signage and décor.
  • Provide regular updates to the Promotions Office on production progress, working closely with the Signs & Decor Manager.
  • Oversee the unloading and inspection of stored items during the move into the onsite office, documenting the condition of corporate-branded inventory. Alert the Signs & Decor Manager to items requiring repairs, refurbishment, or reproduction.

Installation and Onsite Oversight:

  • Work onsite with the Signs & Decor Manager and installation team to coordinate timely and accurate installation of all Promotions Office-related signage and décor.
  • Assist in scheduling and supervising the onsite crew during installations.
  • Conduct quality control checks on all installations, troubleshooting and resolving issues efficiently in coordination with the Promotions Office directors, Art Department Director, and Installation Manager as needed.
  • Prioritize tasks to ensure deadlines are met.

Post Production:

  • Collaborate with Art Department staff to create a detailed inventory of signage and décor post-Festival, noting condition and storage locations. Prepare a discard list for Promotions Office director approval before disposing of items.
  • Supervise the repacking of containers and road boxes for load-out and submit a final, detailed inventory to the Administrator.

OTHER REQUIREMENTS:

  • Accurately report absenteeism using the Absentee Request Form.
  • Maintain confidentiality regarding sensitive matters.
  • Submit all intellectual property created during the production year to the Festival.
  • Complete all required feedback forms and final reports.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • Helpful: Graphic design experience.
  • Strong skills in management, production, budgeting, organization, analysis, and problem-solving.
  • Excellent written and verbal communication skills.
  • High attention to detail and the ability to work collaboratively within a team.
