Job Description
Company Overview:
El Guapo is a leading producer of cocktail bitters, syrups and mixers and is known for its commitment to quality ingredient sourcing and sustainability. With a focus on providing exceptional products to the beverage industry, El Guapo is seeking a full-time Assistant to the CEO to join our team. Reporting directly to the CEO, the Assistant to the CEO provides executive & personal support in a one-on-one working relationship.
Key Responsibilities:
- Track the CEO’s responsibilities & duties to ensure that her time is effectively prioritized and goals achieved
- Track CEO’s commitments, goals, projects, tasks and deadlines;
- Ensure items are effectively delegated, reprioritized, or addressed, navigating conflicting demands and time pressure;
- Maintain the CEO’s calendar; ensure her time is allocated to the highest priorities;
- Attend select meetings, take notes, capture action items, and ensure follow through;
- Confirm that attendees will be present and complete preparatory work, such as agendas and reports;
- Schedule and ensure the CEO is prepared for speaking engagements.
- Represent the CEO in internal and external communications
- Provide a bridge for smooth communication between the CEO and Board members, staff, supporters and others;
- Ensure that all stakeholders feel good about their interactions with you and the office of the CEO;
- Assist the CEO in the timely management of communications; including written, telephone, email and voicemail;
- Draft and edit letters, documents, emails, proposals that is often sensitive and confidential and ensure follow up with those that require answers, responses and written replies; this will require working closely with the development and marketing team;
- Ensure that the CEO’s bio is kept up to to date and responds to requests for materials regarding the CEO and the organization in general;
- Monitor incoming emails to the CEO’s account and aid with quick replies when appropriate.
- Manage administrative and logistical Issues
- Maintain the CEO’s calendar;
- Arrange complex and detailed travel plans, itineraries, and agendas;
- Coordinate onsite meetings, luncheons, coffees, in-house events such as dinners or fundraisers;
- Greet and check-in guests for appropriate meetings and events;
- Make purchases on behalf of the CEO;
- Gather and organize receipts for any purchases by the CEO to share with the accounting team;
- Assist in file organization (example Dropbox, Monday.com);
- Conduct research on certain tasks that may be time consuming for the CEO;
- Preparing presentations when needed; work closely with Marketing team;
- Performing personal errands and activities to save time such as dropping off checks, documents, gifts, vehicle maintenance, shopping, etc;
- Point of contact “when needed” for services at the CEOs residence. Contractors, Tech, repairs, etc. in order to save time for the CEO to do business related activities.
- Support partner relationship development
- Follow up on contacts made by the CEO; support the cultivation of ongoing relationships;
- Foster relationships with complimentary brands and business to create opportunities that enhance El Guapo's visibility and increase sales;
- Keep in contact with key decision makers on behalf of CEO.
- Perform other related duties as requested or responsibilities dictate.
Qualifications
- Bachelor’s degree required
- Work experience as an Executive Assistant, Personal Assistant or similar position a plus
- Driver’s license, auto insurance, and reliable transportation

- Strong written and interpersonal communication skills
- Excellent organizational skills and is able to work independently and collaboratively with minimal supervision
- Comfortable in a high performing, fast-paced and quickly growing organization; demonstrated ability to achieve high performance goals, meet deadlines and adapt to changing circumstances
- Emotional maturity

- Candidates must be able to lift up to 50 pounds
- Ability to write by hand and use the keyboard to perform general functions
- Ability to communicate by speech and hearing continuously
- Visual acuity (close, distant, peripheral vision, and the ability to adjust focus and view accurate color perception) needed for detail work, and computer use
- Ability to sit for extended periods of time
- Some travel may be required
- Working Days & Hours: Monday - Friday 8AM to 5PM with some nights and weekends required

- Salary commiserate with experience
