Job Description

Under general supervision from the Human Resources Benefits Manager, the incumbent is responsible for the administration and maintenance of the University’s time and leave programs. These programs include, but are not limited to Leave administration, Workers Compensation, ACA Family Medical Leave, Parental Leave, and Leave Without Pay.


Duties and Responsibilities

Family Medical Leave Administration & Maintenance 

• Determines and communicates FMLA eligibility and provides employees and departments with documentation in accordance with federal guidelines and LSUHSC-NO Policy CM-50. 

• Reviews medical documentation and takes necessary corrective action to remedy identified deficiences. 

• Maintains accurate FMLA records in HCM system. 

• Coordinates special accommodation requests with departments and HRM Employee Relations as needed to ensure compliance and cohesion with workers’ compensation, ADA, and other LSU policies and state/federal regulations. 

• Audit employees’ FMLA usage to ensure alignment with medical documentation, accurate record-keeping, and timely notification of exhaustion of benefits. 

• Research leave balance to ensure employee benefits premiums are paid or if personal payments are needed. 

• Research additional compensation. 

• Coordinates with Payroll to ensure adjustments are completed as needed. 

• Coordinates situations that involve both FMLA and workers’ compensation. 

• Provides general advice and counseling to employees and administrators regarding FMLA, annual/sick/LWOP leave, and time and attendance benefits and policies, while maintaining confidentiality. 

• Provides guidance to departments and timekeepers throughout FMLA application and leave process. 

• Develops and delivers training as it relates to leave programs.

Leave without Pay

• Monitors leave balances of those employees on extended FMLA leave and projects if accrued time will be exhausted before return to work.

• Maintains LWOP records and updates the HCM system accordingly.

• Communicates insurance options with employees on LWOP and sets up the payment arrangements for insurance premiums as needed. 

• Coordinates with General Accounting and Payroll to ensure that payments are processed correctly and that records are maintained to avoid any discrepancies 

• Regularly reviews LWOP employees’ payment status to ensure compliance with company policies and insurance provider requirements. 

Leave Administration & Maintenance 

• Leave Accruals & Audits 

• Administers and maintains employee leave accruals. Research time and attendance records to ensure accurate calculation of leave and dates. 

• Prepares and provides necessary adjustments and corrections to the appropriate staff as it relates to employees’ leave records to include calculating and recording leave balances. 

Workers Compensation 

• Administers the worker’s compensation program. 

• Maintains claims monitoring, report generation, and communicates with employee’s, managers, insurance carriers, medical staff and lawyers. 

• Coordinates employees drug screen and facilitates employees return to work. Administers leave buy back and ensures medical premiums are paid or cancelled. 

 • Coordinates and administers the ADA interactive process as needed.

• Ensures leave transfers (in and out) are stored in the appropriate leave program. 

• Calculates overpayments and provides necessary documentation to Accounting Services. 

• Maintains leave without pay status including communicating with employees and Accounting Services and updating the HCM system in accordance with established policies and procedures.
