Job Description
OVERVIEW
ARB Meetings and Events (ARB), a corporate meeting and event management firm based in New Orleans, is seeking candidates for an Associate Meeting & Project Coordinator. ARB is a full-service meeting and event management company with clients across the US. Our projects range in scope and size from 15 to 1,500 people and are based in New Orleans and throughout the country.
We are currently in search of an energetic, highly motivated Associate Meeting & Project Coordinator to join our team. RESPONSIBILITIES
This position’s main tasks include day-to-day management and coordination of multiple conferences and events. Responsibilities include, but are not limited to:
· Manage all incoming communications from all stakeholders, including but not limited to attendees, sponsors, and speakers.
· Maintaining and updating accurate attendee lists for multiple events and conferences simultaneously
· Implementing a systematic approach to track weekly progress and metrics related to attendee engagement and report this data to the team, providing strategic advice on trends
· Oversee overall attendee management for conferences and events, including registration tools, ongoing communication, and onsite management
· Assisting senior staff in managing budgets, invoicing, and financial reconciliation of projects.
· Support exhibitor management during pre-planning phase of event and assist in exhibit hall set-up
· Collaborate and coordinate with a diverse array of stakeholders including vendors, exhibitors, clients, and attendees.
· Support team members in planning and developing programs according to event/conference requirements
· Manage, with direction and input from senior staff, agendas for client meetings
· Assist with on-site event management at all conferences and events
REQUIREMENTS
The ideal candidate would possess the following:
- Four-year college degree
- 1+ year of event or project management experience
- Strong project management, organizational and communication skills
- Strong follow-through, attention to detail, and clear vision with the understanding of when to take accountability
- Ability to function in a self-directed environment
- Ability to set proper expectations for clients while maintaining a service-minded approach to all client needs and direction
- Desire to have fun and work in an exciting environment
- Love of travel
- Knowledge of Microsoft Office (Word, Excel, and PowerPoint), Canva, and Brevo
- Innovative thinker who is positive and proactive
- Experience updating WordPress and managing client social media accounts
- Travel as requested to conferences, clients, vendors, tradeshows
