Position Summary

The Director of Administrative Support plays a crucial role in providing high-level administrative support to the Superintendent of Schools. This individual will work closely with the Superintendent on various projects, initiatives, and priorities to help achieve the district’s goals and objectives. This role will ensure the successful operations of the Office of the Superintendent are performed at an optimal level. The incumbent will be privy to highly Executive matters and transactions and must display the utmost confidentiality, discretion, and professionalism.

Essential Duties and Responsibilities

  • Coordinate and manage the Superintendent’s calendar and schedule, ensuring efficient use of time and prioritize key meetings and events;
  • Screen, manage, prioritize, and respond to emails, calls and other communications for the Superintendent;
  • Support the Superintendent in special projects and initiatives, ensuring they are effectively executed;
  • Monitor project progress, provide timely updates to all stakeholders, and recommend modifications and alternative
    solutions as needed; ensuring projects are successful from inception through to completion;
  • Cultivate and maintain relationships with key internal and external stakeholders, including board members, partners,
    government officials and collaborate with them as needed;
  • Attend meetings with internal and external stakeholders;
  • Meet with representatives from outside agencies that are partners or potential partners with the district; gather
    information and determines the feasibility of the district’s participation and provide a thorough update to the
    Superintendent;
  • Develop and implement a communication management process that ensures timely and adequate responses to
    communications with the Superintendent’s office;
  • Act as a liaison between the Superintendent and other executives, departments, and stakeholders;
  • Draft and edit communications on behalf of the Superintendent;
  • Assist in maintaining the Superintendent’s office budget by ensuring monies are spent according to goals and

objectives set forth; 


  • Arrange and coordinate travel logistics including, itineraries, flights, accommodations, and transportations; and prepare detailed travel plans;
  • Create a customer focused office setting that is responsive and welcoming to internal and external stakeholders;
  • Prepare agendas and informational materials for meetings and presentations;
  • Maintain an organized and efficient document filing and retrieval system; and
  • Perform event planning and coordination functions, including determining attendees, flow of information to
    attendees, equipment, staffing, catering, location, etc.;
  • Oversee the workflow related to the Office of the Superintendent, effectively filtering, and coordinating internal
    and external requests; monitoring project and activity status; and ensuring matters are brought to satisfactory
    conclusion;
  • Create and process purchase requisitions and credit card reconciliations for the Superintendent’s expenditures; and
  • Performs other duties as assigned.
    Education and Experience
  • Bachelor’s degree in business, communications, education, or related field or equivalent work experience.
  • Minimum of five years of administrative work experience.
    Other Knowledge, Skills or Abilities Required
  • Excellent written and oral communication skills.
  • Attention to detail and a high level of accuracy.
  • Ability to maintain a high degree of confidentiality and handle sensitive information with discretion.
  • Professional demeanor and customer service oriented.
  • Strong ability to independently manage multiple projects and tasks at once, and effectively prioritize in a fast-
    paced work environment to meet tight deadlines.
  • Knowledge of school board policies and procedures (highly preferred).
  • Proficient in Microsoft software such as PowerPoint, Excel, Word, Outlook, SharePoint, Google Drive, and Zoom.
  • Must possess good public relations skills, interpersonal skills, and knowledge of general office procedures.
  • Ability to follow-up / follow-through on assignments is essential.
  • Absorbs information quickly, be exactingly precise, be able to adapt readily with minimal direction.

  • Required to use motor coordination with finger dexterity (such as keyboarding, machine operation, etc.) part of the workday;

  • Required to be exposed to physical environment which involves dirt, odors, noise, weather extremes or similar
    elements rarely;
  • Required to think critically, possess strong analytical skills, and make informed decisions in a fast-paced
    environment; and
  • Normal setting for this job is an office setting.
