I am seeking a tech-savvy, detail-oriented, and motivated office assistant to help us with operations, scheduling, and administrative duties for part-time or full-time work.



About NOLA Pelvic Health

Our mission is to revolutionize the way women receive care during tender times in their life by to increasing awareness and access to treatment for common pelvic floor conditions. NOLA Pelvic Health is a small physical therapy clinic in Uptown New Orleans and provides services to all genders to treat common yet rarely addressed pelvic health disorders in a manner that is accessible, modern, and convenient via a pelvic health physical therapy platform. Our team offers compassionate care and the patient privacy and experience is of the highest importance to us.


About this Position:


Office Assistant

We are looking for a front office assistant (around 20-30 hours a week) to manage the office operations of NOLA Pelvic Health, a pelvic physical therapy clinic located in uptown New Orleans.  In addition this person would help streamline processes, support therapist and patient scheduling, provide a warm welcome to all patients in the office, assist with light cleaning, and communicate with medical offices and patients on a regular basis. We are looking for a self-starter that is looking to grow with our small but mighty team. This position is patient-facing so you must be friendly, outgoing, hard-working and a team player. Experience working in a medical office or fitness studio a plus. Because we are a healthcare facility, Covid vaccinations required.


The Roles and Duties include, but are not limited to:

  • Managing and updating patient records including faxing, scanning and filing
  • Greeting patients, taking intake forms and billing
  • Scheduling appointments
  • Maintaining the front desk and reception area
  • Managing all correspondence with patients including scheduling, appointment notifications, email traffic and therapist schedule management
  • Occasional social media management and correspondence
  • Streamline current operations and proactively seek ways to improve our company


    Knowledge, Skills, and Abilities
    • Strong customer service skills and ability to communicate professionally
    • Professional communication and presentation skills, including face to face, email, telephone, and video conference
    • Willingness to learn Skill scheduling systems, medical coding and Superbills and maintaining supplies and equipment for the medical setting
    • Knowledge of continuous process improvement concepts and practices
    • Willingness to learn new digital platforms for medical documentation




    Requirements:

    • Work effectively with minimal supervision, reliable attendance and timely arrival
    • Impeccable written and oral skills
    • Friendly with excellent communication skills
    • You are a self-starter, you know how to juggle tasks and you take pride in all tasks you are assigned. You will be forward-thinking about ways to improve current processes and come up with new initiatives and ideas.
