Job Description

The Auxiliary Services Department of the University of New Orleans seeks an experienced event operations and booking professional to manage events at UNO.

 

Job Summary

·       Ensures the proper communication of all event-related information.

·       Initiates and executes contract negotiation.

·       Actively participates in vendor selection and relations.

·       Actively Initiates event set-ups and break-downs.

·       Schedules and staff events for auxiliary units.

·       Monitors event activities to ensure the client and event attendees are satisfied ensuring the highest quality service and client relations.

·       Inspect venues to ensure that they meet the client's requirements.

·       Perform pre- and post-event quality facility checks and ensure venues meet the highest quality of standard service available to the University and to tenants.

·       Initiates work orders for repairs and maintenance as required or warranted.

·       Develop, publish, and revise robust communications to inform community members of event-related policies and procedures, as well as how constituents might be affected by events.

·       Provide clarity around the services provided by Events Management and other campus fulfillment partners.

·       Plan and implement space reservation policies and procedures for all events managed, including sponsored, co-sponsored, and revenue-generating groups on campus.

·       Develop and manage processes for workflow, space scheduling, conference assistance, training, and event consultations, to include auxiliary units and other departments on campus; this is particularly important as Events Management oversees all bookings of spaces.

·       Oversee the booking software for the campus reservation process and work with Information Technology staff, Audio-visual and Technology staff, Facilities, and other appropriate campus offices to meet the event planners' needs.

·       Oversee the process by which Event Management staff gather, synthesize, and communicate information for the logistical support of events supplied by campus fulfillment partners such as Facilities, and A/V Services, on both event logistics and facility maintenance and space usage.

·       Coordinate and conduct event reviews before and after events as appropriate to resolve concerns and prepare for future success.

·       Respond to inquiries promptly.

·       Supervise exempt and non-exempt employees for auxiliary units.

·       Work cross-functionally with campus fulfillment partners to develop and maintain efficient mechanisms of support for events and redirect inquiries to appropriate individuals, if necessary with a focus on cross-marketing other venues on campus.

·       Collaborate with the Finance Coordinator and Event Administrator to purchase and order all relevant equipment needed and maintain an accurate inventory.

·       Track statistical information, analyze data, create presentations, and prepare reports on the effectiveness of events, programs, and activities to report to the director of Auxiliary Services and Campus Operations.

·       Utilize prospect management data relative to event planning.

·       Coordinate systematic processes and procedures for tracking phone calls and e-mail correspondence for campus-wide events, programs, and activities.

·       Develop a creative vision and detailed plans for the Campus Booking website to support and meet all goals and objectives of Campus Booking.

·       Develop and manage all systems necessary for the successful implementation of an events management program at the University.

·       Develop and manage a schedule for annual work performed by the department.

·       Responsible for the oversight of Campus Booking including campus booking staff, budgets, and payroll.

·       Ability to perform all duties in a manner consistent with high-quality standards and best practices to yield successful events and activities.

·       Ability to manage and direct all Auxiliary Service units in the absence of management and staff.

·       Ability to perform other duties as requested or assigned by the Director of Auxiliary Services Campus Operations and the Associate Vice President of Auxiliary Enterprises.

·       Ability to work long, irregular hours as dictated by the event schedule and Auxiliary Services' needs and which include nights, weekends, and holidays. Additional duties as assigned.

 

Required Qualifications

·       Bachelor's Degree or experience in a professional assembly setting with scheduling, event coordination, building operations, project management, service operations, and/or facility operations may be substituted on a one-year experience to a one-year college basis.

·       Candidate must possess excellent written and oral communication skills, experience in computer software programs, and well-developed organizational skills.

·       Ability to work non-traditional hours, including but not limited to evenings, weekends, and holidays required.

 

Desired Qualifications

·       Ability to maintain composure in sensitive public relations matters as well as the ability to effectively communicate professionally with the general public, in writing, and in person.

·       Willingness to do any and all tasks related to facility management (i.e. setting up tables and chairs, cleaning, etc.).

·       Ability to think quickly and independently to solve event-related complications.

·       Ability to motivate staff and direct people in a variety of tasks.

·       Ability to maintain records of all events and properly organize them for future reference.

·       Ability to effectively work with on-campus partners and vendors.

·       Ability to be meticulous and thorough with great attention to detail in regard to facility upkeep and maintenance and overall venue appearance.

·       Demonstrates a quality of high standard for excellence.

·       Exercises a positive attitude towards others.
