Job Description

SUMMARY: Perform day-to-day general accounting functions for Non-Profit organization; compute and prepare data for journal entries; review general ledger and related financial statements, liaise with Management Team, PSBM, vendors and PHF Board and staff, create and present necessary reports and data for operations and management.

 

 

DUTIES AND RESPONSIBILITIES:

● Manage accounts receivable functions, including but not limited to applying payments to appropriate accounts, monthly A/R review, reconciling customer accounts monthly, and handling customer inquiries as needed.

● Manage accounts payable functions, including but not limited to vendor setup, verifying and processing invoices, expense reports, check requests, credit card expenses, and merchandise purchase orders; entering data into accounting system; and processing weekly, bi-weekly, or semi-weekly vendor payments and staff payroll.

● Manage collection and storage of supporting documentation for all necessary expenditures and income.

● Maintain paper and electronic files of all supporting documentation related to donations, grants, etc.

● Prepare general ledger journal entries, fixed asset tracking, monthly balance sheet reconciliations, and bank reconciliations.

● Scrub monthly accounting entries for all balance sheet and income statement accounts.

● Develop, generate, and prepare periodic financial statements, review with CFO, and distribute to management, as well as provide quarterly written updates to PHF board

● Present PHF financials and context to board at quarterly meetings.

● Update and monitor PHF profiles on Guidestar and other related sites.

● Complete necessary paperwork for national and state fundraising certifications.

● Assist with budget preparation and strategy.

● Respond to PHF staff inquiries and develop mutually beneficial procedures.

● Maintain fixed asset and related depreciation schedules.

● Prepare monthly sales tax returns and project-manages transition to outsource this process.

● Assist with annual accounting and worker’s comp audits.

● Coordinate implementation of accounting systems and accounting control procedures, including those related to funds moving between the for-profit venue and non-profit foundation.

● Review and analyze the organization's accounting operation; recommend improvements.

● Assist with related special projects as required.

● Perform other duties as assigned by CFO or Business Manager.

 

 

QUALIFICATIONS:

● Minimum of four-year certificate from college or technical school, 4 years minimum related experience, or equivalent combination of education and experience, CPA preferred.

● Previous Nonprofit accounting experience and demonstrated awareness of IRS guidelines regarding nonprofits.

● Proficient in Salesforce, Excel, Word, QB, Xero, or previous experience with other accounting software

● Ability to prepare reports and business correspondence.

● Demonstrated ability to calculate figures and amounts such as discounts, interest, commissions, and

percentages.

● Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

● Occasionally required to stand, walk, sit, or climb stairs

● Occasionally required to work offsite at local offices of company

● Occasionally required to work during venue operating hours

Continually required to utilize hand and finger dexterity

● Continually required to talk or hear

● Occasionally required to lift/push/carry items/files up to 25 pounds
