Job Description
Event Coordinator Job Description
This job is currently a contract position - with potential to go full time based on fit.
Note: our day-to-day operation is remote work-from-home; with on-site, in person required on event days as well as site visits & client or team meetings.
As Event Manager you will be expected to handle all aspects of planning an event/weekend excursion from start to finish. This includes, but is not limited to the following:
- Assist agency leadership in day to day task assignments.
- Provide ongoing administrative support to Agency leadership in the form or research, reservations, coordination and management as directed by leadership.
- Gather event related pricing. Research vendor & venue availability.
- Create and manage event related details for each client within our internal event management system.
- Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet the quality & budget expectations.
- Aggressively gather information on each project to achieve quality event productions.
- Conduct research, make site visits, and find resources to help staff make decisions about event possibilities.
- Create contracts based on approved proposals.
- Create and revise room layouts for each event.
- Propose new ideas to improve the event planning and implementation process.
- Serve as liaison with vendors on event-related matters.
- Assist in managing on-site production and clean up for events as necessary.
- Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
- Close out all events as required.
The perfect candidate will be extremely organized, detail obsessed, have an impeccable taste level, and a 'can-do' attitude with a constant eye on perfection. We are looking for folks who aren't afraid to get their hands dirty and do whatever is required to make our clients happy. Reliability is key.
This job will require some nights and weekends and may also require some travel - the right candidate must be willing to work these kinds of hours. Qualified candidates must be capable of lifting & moving items such as tables, chairs, bars, decor, etc.
