Financial Office Director POSITION SUMMARY Responsible for ensuring the efficient operations of the business office to include an accurate, timely, and consistent performance of all functions pertaining to Revenue Cycle Management, including patient registration, patient accounting, patient account maintenance, billing and collection management. Responsible to prepare biweekly payroll for third party payor. Effectively manage the accounts receivable functions for the facility. Prepare monthly financial reports. RESPONSIBLE TO: Executive Director and/or Medical Director. EDUCATIONAL, LICENSE AND CERTIFICATION REQUIREMENTS AND PREFERENCES Education: Bachelor's degree in Business Administration, Accounting, or related field preferred, with certification through BFMA or AEPAM (CMPA or CPAM); or equivalent combination of education and experience. QUALIFICATIONS AND EXPERIENCE Minimum of three (3) years supervisory experience in a multi-faceted health care business office, with psychiatric or addiction patients and physician billing experience preferred. Experience with computers and business office software programs, e.g. Microsoft Office and Medisoft. Must have strong organizational skills and professional maturity. RESPONSIBILITIES AND TASK INCLUDE BUT ARE NOT LIMITED TO: 1. Manage business office operations, which will achieve the established productivity standards for the department. a. Assist in establishing policies and procedures as they relate to the financial goals of the facility. b. Implement and monitor business office procedures, and resolve systemic problems quickly. c. Implement business office procedural guidelines, which will facilitate a smooth workflow and accurate follow-up on all activity. 2. Effectively manage the accounts receivable functions for the facility. a. Maintain a dialogue and working knowledge with all third partys, b. Assist case management in the areas of denial tracking, recertification, concurrent review, and appeal of denials. c. Active participation in weekly census meeting for the purpose of supplying the census status report and other information under the control of the business office. d. Complete and submit the monthly business office operations report as directed. 3. Effectively manage the accounts payable functions of the facility. 4. Manage patient account maintenance functions for the entire facility. a. Define and prioritize account follow up activity on problematic accounts. b. Resolve credit balance accounts. c. Audit and review all open patient accounts listed on the aging system once a month, take appropriate action towards a positive resolution. 5. Manage and develop effective business office staff. a. Interview applicants for business office positions and obtain appropriate approvals for hiring decisions. b. Assist in new employee orientation and continuing education for all business office staff. c. Review work of department staff and recommend improvements to enhance performance or resolve problem situations. d. Define the educational needs of self and staff and facilitate and/or arrange for training surrounding developmental needs. 6. Review collection reports daily, taking corrective actions as necessary. 7. Review daily census and assure all proper information has been obtained. 8. Maintain monthly reconciliation of general ledger accounts, providing reports as required. 9. Consult with the Executive Director and Medical Director on activities, plans, and problem situations. 10. Ensure that all deadlines are strictly adhered to, contacting the appropriate staff when problems arise; keep the Medical Director well informed. 11. Function as relief for all business office positions as needed. 12. Adhere to facility, department, personnel and standard policies and procedures. 13. Attend all mandatory facility in-services and staff development activities as scheduled. 14. Adhere to facility standards concerning conduct, dress, attendance, punctuality, and to all Human Resources policies and procedures. 15. Support facility-wide quality/performance improvement goals and objectives. 16. Oversee internal human resources functions. Maintain confidentiality of facility employees and patient information. 17. Oversee risk management functions of the agency. 18. Provide direct supervision to maintenance staff.
